Frequently Asked Questions

34 answers to the most common questions about WPsigner, from legal compliance to technical integrations.

Getting Started

How do I install WPsigner on my WordPress site?

Download the plugin ZIP from your account dashboard, then go to Plugins → Add New → Upload Plugin in WordPress. After activation, enter your license key in Settings → WPsigner. The setup wizard will guide you through configuration in under 5 minutes.

Do I need any coding skills to use WPsigner?

No coding required. WPsigner includes a visual drag-and-drop form builder, pre-built templates, and a point-and-click PDF field mapper. Everything is designed for business owners and non-technical users.

Can I try WPsigner before purchasing?

Yes! We offer a live demo environment where you can test all features instantly, no installation required. Click the 'Live Demo' link in our navigation to launch a fresh demo site. Additionally, we provide a 14-day money-back guarantee on all purchases. If WPsigner doesn't meet your needs, you'll receive a full refund, no questions asked.

Legality & Compliance

Are e-signatures collected with WPsigner legally binding?

Yes. WPsigner fully complies with the US ESIGN Act (2000), UETA, and the European eIDAS Regulation. By default, signatures are Simple Electronic Signatures (SES). When Didit KYC is enabled, signer identity is verified with government ID, facial biometrics, and liveness detection before signing, elevating the signature to eIDAS Advanced Electronic Signature (AdES) level under Article 26. Every signed document includes a complete audit trail (IP address, timestamp, email, browser fingerprint) and is cryptographically sealed to prevent tampering.

What is RFC 3161 Timestamping and why does it matter?

RFC 3161 is an international standard for Trusted Timestamping. WPsigner integrates with certified Time Stamping Authorities (TSAs) to cryptographically prove exactly when a document was signed, independent of your server's clock. This prevents backdating disputes and ensures long-term legal validity, even decades later.

Which types of documents CANNOT be signed electronically?

While most business documents are valid with e-signatures, some legal exceptions exist depending on your jurisdiction. Common examples include wills and testaments, divorce decrees, child custody agreements, court orders, and certain real estate deeds. Always consult local legal counsel for your specific use case.

Is WPsigner GDPR compliant?

Absolutely. Since all data is stored on YOUR server (not ours), you maintain full control as the Data Controller. WPsigner is designed to help you comply with GDPR by keeping data within your infrastructure. You can also configure data retention and deletion policies according to your own compliance requirements.

Security & Privacy

Where is my data stored?

100% on YOUR server. Unlike DocuSign, HelloSign, or PandaDoc, WPsigner generates PDFs locally using your WordPress database and file system. We have zero access to your documents, signatures, or signer information. Your data never leaves your infrastructure.

How does WPsigner ensure document integrity?

Every completed document is hashed using the SHA-256 algorithm. This unique digital fingerprint is recorded in the audit trail. If even a single byte of the PDF is modified after signing, the hash will change, instantly alerting you to potential tampering.

Can I use WPsigner on a site without SSL?

We strongly recommend using HTTPS (SSL/TLS) for security and compliance. WPsigner will function on HTTP sites, but signatures may not be considered legally valid in some jurisdictions without encrypted transmission. Plus, Google penalizes non-HTTPS sites in search rankings.

What happens to data if I uninstall the plugin?

Your signed documents and database records are NOT automatically deleted when you deactivate or uninstall WPsigner. This is intentional to protect your legal records. If you want a clean uninstall, use the 'Delete All Data' option in Settings before uninstalling.

Does WPsigner support KYC identity verification?

Yes. WPsigner integrates with Didit.me for KYC (Know Your Customer) identity verification. When enabled, signers must verify their government ID, take a selfie, and pass a liveness check before they can sign, all in under 90 seconds. This elevates your signatures to eIDAS Advanced Electronic Signature level and creates a stronger chain of evidence in case of disputes. WPsigner only stores the verification outcome, never biometric data.

Pricing & Licensing

Is there a per-envelope or per-signature fee?

No, never. You pay a single annual license fee and can send unlimited documents, collect unlimited signatures, and create unlimited templates, with no hidden usage fees. This is a key differentiator from SaaS solutions like DocuSign that charge per envelope.

What's included in the license?

Every license includes the core plugin, all premium features, 1 year of software updates, 1 year of email support, and access to our knowledge base and video tutorials. Higher tiers include priority support and additional site activations.

What happens when my license expires?

Your signed documents remain safe and legally valid forever, and you can continue using the plugin at the installed version indefinitely. However, you'll lose access to new software updates, priority support, and any new features released after expiration. To access the latest version and support, simply renew your license.

Can I upgrade my license later?

Yes! You can upgrade at any time from your account dashboard. You'll only pay the prorated difference for the remainder of your current billing cycle. Upgrades are instant, no need to reinstall or reconfigure.

Do you offer discounts for non-profits or education?

Yes, we offer a 30% discount for registered non-profit organizations, educational institutions, and open-source projects. Contact our support team with proof of eligibility to receive your discount code.

Technical & Integrations

Does WPsigner work with my form plugin?

Yes! WPsigner integrates natively with Gravity Forms, WPForms, Contact Form 7, Formidable Forms, and Fluent Forms. We also offer a universal webhook/API for any other form builder or custom implementation.

Can I connect WPsigner to my CRM or automation tools?

Absolutely. WPsigner works with Zapier, Pabbly Connect, Make (Integromat), and n8n. You can trigger automations when documents are signed, send signed PDFs to Google Drive, Dropbox, or OneDrive, and sync signer data to your CRM (HubSpot, Salesforce, etc.).

What are the minimum server requirements?

WPsigner requires WordPress 5.8+, PHP 7.4+ (8.0+ recommended), and a standard WordPress hosting environment. For PDF generation, we recommend at least 256MB of PHP memory. Most quality managed hosts (Cloudways, Kinsta, WP Engine) work out of the box.

Is there a REST API for developers?

Yes. WPsigner includes a comprehensive REST API for creating signature requests, fetching signed documents, managing templates, and retrieving audit logs. Full API documentation is available in our Developer Portal.

Cloud Storage & CRM

Can I automatically save signed documents to Google Drive?

Yes! WPsigner integrates with Google Drive, Dropbox, OneDrive, Amazon S3, Wasabi, and Cloudflare R2. Signed documents can be automatically uploaded to your preferred cloud storage with customizable folder structures.

Does WPsigner integrate with my CRM?

WPsigner integrates with HubSpot, Pipedrive, and FluentCRM. When a document is signed, signer data and document status can be automatically synced to your CRM. For other CRMs, use our Zapier or webhook integrations.

Can I receive notifications via Slack or Microsoft Teams?

Yes! You can configure instant notifications to Slack, Microsoft Teams, or Telegram when documents are sent, viewed, signed, or completed. We also support WhatsApp and Twilio SMS for mobile notifications.

How do webhooks work in WPsigner?

Webhooks send real-time HTTP POST requests to any URL when specific events occur (document.sent, document.viewed, document.signed, document.completed). This enables integration with virtually any external system, including Zapier, Make, and custom applications.

Signing Workflows

What's the difference between sequential and parallel signing?

In sequential signing, each signer receives the document one at a time in a specific order, signer 2 only receives it after signer 1 completes. In parallel signing, all signers receive the document simultaneously and can sign in any order. Choose based on your approval workflow needs.

Is there a limit to the number of signers per document?

No limit. You can add as many signers as needed per document. Each signer can be assigned specific fields to complete, and you can use color-coding to visually distinguish which fields belong to which signer.

Can I send automatic reminders to signers?

Yes! WPsigner can automatically send email reminders to signers who haven't completed their signatures. You can configure reminder frequency (daily, every 3 days, weekly) and customize the reminder email content.

What happens if a signer doesn't have email access?

You can copy the unique signing link directly and share it via any channel, SMS, WhatsApp, chat apps, or in person. The signing experience works on any device with a web browser, no account required.

Can I require additional verification from signers?

Yes. WPsigner supports PIN code verification (you provide a code the signer must enter), email verification, and SMS/OTP verification via Twilio. This adds an extra layer of signer authentication for high-value documents.

Branding & Customization

Can I add my company logo to signing pages?

Yes! White labeling is included in ALL plans. You can customize the signing page with your logo, brand colors, and company name. Signers see your branding throughout the entire experience, no WPsigner branding visible.

Can I customize the email templates?

Absolutely. All email notifications (signature request, reminder, completion) are fully customizable. You can edit the subject line, body text, add your logo, and use merge tags to personalize with signer/document data.

Is dark mode supported on the signing page?

Yes. The signing experience features a modern glassmorphism design with automatic dark mode support. Signers can toggle between light and dark themes based on their preference or system settings.

Can I create reusable document templates?

Yes. Create template documents with pre-placed signature fields, then reuse them for multiple signers. This is perfect for contracts, NDAs, and forms you send repeatedly. Templates can be duplicated and modified as needed.
